Supporting Student Growth

Student employment is more than a job, it is a key opportunity for students to develop transferable skills and prepare for future success. Supervisors play an important role in helping students make meaning of their experiences.

You can support student growth by:

  • Engaging in regular ƵGROW+ reflection conversations
  • Encouraging students to connect their work with their academic experiences
  • Helping students identify and articulate the skills they are developing
  • Connecting students to campus resources that support their goals
  • Requesting a workshop from the Student Professional Development Center. Workshops include:
    • New Hire Orientation introduces new student employees to workplace expectations, dress code, email communication, payroll information, and telephone etiquette.
    • It’s All in the Translation is an interactive session designed to assist students with translating the student employment experience for post-graduate or internship resume. Using the job descriptions from the department student employees will learn how to determine and compose relevant action bullets for their resume. This session is customized to address how the jobs in your department can be written for relevance to post-graduate goals.
    • The Game of Social Life addresses bias, understanding, and inclusion.  The session is designed to increase awareness and understanding of between-group variations and how external factors impact decisions and outcomes. In thinking about a given person’s successes or failures in life, we might assume that those outcomes are probably due to a combination of internal factors (a person’s own motivation and hard work) and external factors (such as the conditions under which one is born, the social support that a person receives, or the ways in which the policies, rules, and reward structures of a society affect that person). As we play this game students examine the relative balance between free choice and external factors in determining outcomes in life.  This is all done through assignment of an interactive strategy game and class discussion of experiences based on player profiles.
    • Request a custom session for student staff or applicant training you can use  to explain and request training.  Use the “Other” option on the form and detail request in comments.

Posting & Editing on the Ƶ Job Network

Posting a position to the Ƶ Job Network (EJN) takes just a few steps:

  1. ǰ
    1. When registering, complete fields marked with an asterisk (*) and know, status is pending until approved. An email will be sent when approved.
  2. Under Job Postings + “Add New.”
  3. To reuse an existing position: Select the position and neccesary edits and update “Posting Date,” and “Expiration Date.”
  4. Complete fields with an asterisk (*).
  5. Provide specific details about the opportunity.
  6. Select methods to receive student emails for non-OCR positions: Email, Accumulate Online, Other (you may select more than one).
  7. Check the documents requested and required boxes.
    1. Enter special instructions regarding requested documents.
  8. Type in and choose from a list of skills or create up to 10 new skills.
  9. Complete any additional fields for screening purposes.
  10. Save or Submit.
    1. Its status will be pending until approved. An email will be sent when approved.

Edit An Existing Job Posting

  1. To edit posting information, contact information, or position information click on “Jobs” and choose “Job Postings.”
  2. Choose the job and edit.
  3. SAVE.
  4. Once you edit a job, its status is pending until approved. An email will be sent when approved.

Incorporating ƵGROW into Performance Appraisals and/or Unit 1s

Intentionally incorporating the ƵGROW framework demonstrates your personal commitment to the supervision and development of your student employees. It also aligns with Ƶ’s strategic plans to build and enhance mentoring in meaningful relationships, including within student employment. We recommend and encourage that you document how you are using ƵGROW with your student workers in your performance appraisals (staff) or Unit 1s (faculty). Sample language for this is provided below.

Staff Performance Appraisals

For the end of year review for staff members, Strategic Leadership and/or Supervision is one of the competency areas in which you must rate yourself. You can also add comments explaining your rating with specific examples. Below is some sample language on how to document using ƵGROW through the year with your student employee(s):

Example 1: Short Paragraph (Supervisor of One Student)

I currently supervise Maria, a student employee serving as a front desk office assistant. This past year I’ve held four structured reflection conversations, using ƵGROW prompts to discuss how her responsibilities, such as managing phone inquiries, assisting visitors, and coordinating basic administrative tasks, connected to her coursework in strategic communications. In our most recent conversation, Maria was able to clearly articulate growth in communication and problem-solving by sharing, “I’ve learned how to adjust my communication style depending on who I’m helping and how to think quickly when I don’t immediately know the answer.” Maria has applied this when interviewing for summer internships, describing the transferable skills she’s gained through her on-campus employment experience. This structured reflection not only strengthened Maria’s ability to connect her work to her career development but also deepened our mentoring relationship in alignment with Ƶ’s strategic plan.

Example 2: Bullet Points (Supervisor of Multiple Student Employees)

  • Supervised a team of 5 student employees (2 events assistant, 2 social media assistants, 1 photographer) and conducted a total of 10 structured ƵGROW conversations (2 per student) in addition to informal check-ins
  • Used targeted ƵGROW prompts to help students connect their specific tasks to academic learning and career interests across disciplines
  • Supported students in identifying and articulating NACE competencies:
    • One events assistant (Finance major) reflected, “Coordinating event logistics helped me develop teamwork, technology, and critical thinking skills because I had to communicate with vendors, manage budgets, and adjust quickly when issues came up.”
    • One social media assistant (Biology major) shared, “Planning and scheduling content pushed me to be more organized and think ahead, especially when balancing multiple deadlines,” and later connected this in a lab course by explaining how those same skills helped them prepare for experiments, manage time-sensitive procedures, and stay organized with lab reports
  • Adapted conversation approaches based on student experience level, using more guided prompts with first-year students and more open-ended reflection with returning student employees
  • Fostered a consistent, mentoring-focused environment that aligns with Ƶ’s strategic priority of building meaningful relationships through student employment

What if I'm hiring for a new position and don't have a student employee budget code?

To hire a student, you must first establish the position with Human Resources by filling out .

How do I post positions to recruit applicants?

For equal access through a centralized system, all jobs are posted on the , an online database of jobs and internships posted exclusively for Ƶ students and alumni. Register as an “Employer” to post jobs.

Who is eligible to work as part of the Ƶ’s federal work-study or institutional work-study program?

Enrolled undergraduate degree-seeking students are eligible to work as part of Ƶ’s federal work-study or institutional work-study program.  Graduate degree-seeking students are eligible to apply for positions within graduate programs.

How do I hire a temporary employee because my student graduates in May and wants to work the following summer?

The supervisor contacts the Office of Human Resources to set up a position in PageUp.

FAQs on Work Agreements

Once I've made an offer, what is the next step? (WORK AGREEMENTS)

Complete the work agreement using the “Student Staff Information” link in . You will find this link under the “OnTrack for Employees” menu in the “Time Entry and Approval” section. Click on Enter New Work Agreement.  Search for the student you want to hire and the page will display any students meeting the criteria you entered.  Click the “Select’ button beside the student you want to hire.  The student’s information will be displayed at the top of the page.  If the student has any current positions then the position information will be displayed at the top of the page.  Enter the pay information.  Check the box if the student is receiving a promotion.  Enter the 6-digit payroll account number and then click “Submit.”  Look at the list of position in the drop down list and choose the correct position.  If the position you need is not listed then choose the “The position is not listed” option, which will start an investigation and communication about the issue.  Once you select a position, enter the student’s start date.  Enter any “Comments.” Read the “Terms of Agreement and click “Submit work agreement” to forward the agreement to Human Resources for approval.  Once you have submitted the supervisor work agreement and Human Resources has approved the submission, an email with appropriate instructions will be sent to the student employee. If the student does not have an I-9 form on file, the student will receive an email  with instructions for submitting their I-9 form.

Once the work agreement has been processed you and the student will receive an email
from HR with subject line “Your work agreement has been processed” that reads ……

The following work agreement has been processed into the Payroll system and the student is eligible to begin employment.

When should I start my student if she has not worked on campus before? What if they have worked on campus before?

If they’ve never worked on campus before you should start your student in five business days. This will give the student enough time to complete the necessary paperwork. It could be longer if the student does not have the proper documentation to complete the I-9.

If they have worked on campus before you should start them in three business days.

Are there instructions that I can give my student once I hire him/her to explain the process?

You may choose to send the new hire the following email.

1. After I submit your work agreement you will receive an email from Human Resources (hr@elon.edu) with the next steps you should take.

2. If you do not have an I-9  form on file you will be instructed to make an appointment with Human Resources to complete this form. You will need to take

a. 1 item from list A
OR
b. 1 item from list C AND 1 item from list C
ڰdzٳ󾱲  to your appointment.

You will also submit tax forms and a direct deposit form during your HR appointment. You will complete a Federal tax form (W-4) and a NC state tax form (NC 4-EZ) at this appointment. A direct deposit form will be submitted as well. Because Accounting nor HR can legally advise you on tax forms, please check with your parents/guardians for advice prior to completing. If you already have an I-9 on file, see step 3.

3. You should receive an email instructing you to go on to your OnTrack account to accept a work agreement. Login to OnTrack, click on the Student Work Agreement to complete. If you do not receive an email within three days of accepting the offer, look on your OnTrack account to see if there is a student work agreement available for you to complete. Login to OnTrack, click on the Student Work Agreement to complete.

4. Please read and submit the agreement.

Why do work agreements end in June? How will I know what steps to take and when?

FAFSA reporting deadlines necessitate closing out work agreements.

Kameryn Taylor will send an email to inform you of dates for completing the rapid rehire process, the process for continuing a student’s employment.

How do I rehire returning/continuing students employees once the work agreement ends in June?

Rapid Rehire Instructions:

Rehiring one student 

  • Log  into  for Staff.
  • Under the section labeled Time Entry and Approval, select Student Staff Information .
  • A list of your student staff will appear.  Scroll to the appropriate student information and select the “Rehire” button on the student’s information line.
  • Enter the students start date for the position.  The date must be on or after the star of the academic year.
  • Enter the student’s pay rate which must be greater or equal to Ƶ’s minimum wage of $13.00.
  • Click submit.
  • The student will receive an email asking them to log into OnTrack to accept the work agreement. Once the work agreement is accepted, you will receive an email stating the work agreement is complete and the student may begin working. Please keep in mind the student is NOT to start working until you receive that email.

Rehiring Multiple Students 

  • Log into  for Staff.
  • Under the section labeled Time Entry and Approval, select “Student Staff Information.”
  • Use the “Start Date for All” field to fill the Start Date for each student with the same date.  Use the “Rehire All button to check the boxes in the Rehire column for each student.  The start date must be on or after the start of the academic year.  For additional details see information on .

How do I know when my student has been Rehired?

You will receive a notification from HR like this and you will see hired in the work
agreement status.

What if I don’t see all the students listed for those who report to me?

If a student is not listed, that person or position may not have been assigned to Web Time Entry in the system yet. Note that students will not be set up with access to Web Time Entry and should not be working until their work agreement is completed and submitted.

First, contact Human Resources at 278-5560 to ensure the work agreement has been entered. Finally, contact Payroll at 278-5284 to ensure there are no other problems.

FAQs on Hours & Payroll

How many hours can a student work when enrolled and in class?

A student may work a maximum of 20 hours per week when classes are in session. This is between all jobs they hold on campus.

How many hours can a student work when enrolled but not in class? (breaks, summer)

A student may work up to 40 hours a week if enrolled and not taking classes.

What types of work do stipends cover?

Work for projects, events, camps, and short-term assignments. Resident Assistants are also covered under this group.

If an FWS student runs out of money, does the funding come out of IWS budget line automatically?

Yes. If the student is working on campus for a department and runs out of FSWP monies, wages are taken from the departments IWSP line.

How do I provide a colleague with the ability to serve as my substitute for approving a student's time entry?

Supervisors may assign a proxy only when away from campus and/or not able to perform their time approval duties. Please refer to the  for all proxy-related questions.

How do I monitor my/my student worker’s work-study earnings?

A pay report can be requested from Payroll (336-278-5282).

Who is responsible for monitoring work hours when a student works two jobs?

The employee is responsible for monitoring and ensuring that maximum hours are not exceeded. Because some students work two jobs with two different supervisors, they will need to apprise a supervisor of hours.

Did my student get paid?

This information can be found On OnTrack. Login and access the student staff information link.

What if a student worked in an earlier pay period but didn’t record all of their hours and now the timesheet is not accessible?

The supervisor will need to contact Payroll at 278-5284 and submit a Payroll Manual Timesheet for the missed pay. Students should record and submit hours worked during the correct time period. It is imperative that students do not “stockpile” hours in order to receive one lump sum payment.

What if a student entered their time on the wrong position?

During the pay period and before the student has checked the box to submit their hours for supervisor approval, the student can delete the incorrect hours and enter them on the correct timesheet.

If the student has submitted the timesheet and the supervisor has not yet approved it, the supervisor can reject the timesheet so the student can enter it on the correct position or the supervisor may correct the timesheet directly. If the student and the supervisor both approved the hours for payment, the supervisor needs to submit an Expense Correction Form to Payroll so that the proper budget is charged for the pay. How do I give my student a wage increase?

Students who have worked for the same department for at least two consecutive semesters (Fall and/or Spring) may be eligible for a wage increase. Requests for raises up to $.25 per hour can be made for the semester.  Human Resources processes raises 2x/academic year.
